Description
The Illinois Library Association has a small, cohesive staff and is looking for a team player. This position is a unique opportunity to join the team on a part-time temporary basis. The position includes a number of detail-oriented tasks with opportunities for learning and growth, as well as a possibility of expanding into a permanent position in the future, after the six months temporary, however, it is not guaranteed.
This is an in-person position at the ILA Office located at 560 W Washington Blvd. in Chicago. Provides support to all staff and the Association across a range of projects, reporting directly to the ILA Executive Director and Deputy Director. Key responsibilities include, but are not limited to:
General Administration (40%)
- Maintain office systems and supplies, including postage meter, photocopier/scanner
- Answer phone and email queries and route them to appropriate staff as necessary
- Process check and credit card payments
- Open, sort, and route mail
- Manages the posting of jobs on ILA website - JobLine Program
- Ships publications as needed
- Assists the Executive Director with Board meetings and meeting notes
- Assists with printing, sorting and mailing of documents and badges
Membership (20%)
- Administrative support for member services (passwords, membership status queries, and general questions)
- Answer phone and email inquiries
- Assist with membership renewals and mailing invoices
- Utilize the membership database and financial software to look up information and retrieve data and reports
- Operate the administrative side of Extranet, the member database
Events (20%)
- Assist with registration for conferences and answering questions about registration, workshops, and events; including group registrations and exhibitor registrations
- Prepare name badges and collate event materials
- Onsite registration and customer/member support for ILA conferences, workshops, and events
- Some in-state travel to events may be needed
iREAD Summer Reading Program (20%)
- Customer service support for ILA’s iREAD summer reading program
- Answering iREAD-related inquiries via phone and email
- Communication and collaboration with the warehouse regarding inventory status, tracking shipments, and answering customer’s questions
- Understanding and knowledge of basic customer service for iREAD
Please note: Pay is $30 per hour, no benefits, non-exempt position. This is a part-time, in-person position, up to 21 hours per week (Tuesday through Thursday) with a possibility of becoming a permanent position after the first six months, however, it is not guaranteed.

Requirements
- Bachelor’s degree preferred, but not required
- Strong verbal and written communication skills
- Excellent time management, customer service, and administrative support skills
- Ability to work well under pressure and meet deadlines
- Ability to work well in a team as well as independently
- Ability to problem solve and analyze while gathering data from multiple databases
- Intermediate knowledge and use of Microsoft Office Suite and Google Suite
- Basic understanding of accounts receivables and payment processing
- Basic knowledge of Zoom
- Understanding of and commitment to the mission of ILA
